Tuition Protection and Travel Insurance

General Policies

These policies apply to all Instructor Training and PRO courses

  • Participants who are unable to attend a course or leave early for any reason (sickness, emergency, injury) are responsible for all associated costs (medical, travel, logistical).
  • AIARE retains the right to dismiss participants from courses due to code of conduct violations, inability to meet essential eligibility criteria, or other violations of AIARE policy or procedure requirements. Participants removed from an AIARE course may not be eligible for a refund.
  • Merchant processing fees are non-refundable.
  • Participants are solely responsible for all incidental expenses (e.g. travel, lodging, meals, etc) not included in course tuition.
  • Tuition and participation fees cannot be transferred to future seasons.

Instructor Training & PRO Courses

Participant-Initiated Cancellations

AIARE-Initiated Cancellations
  • AIARE may cancel for low enrollment or health/safety concerns.
  • Low Enrollment: Full tuition refund*.
  • Events Beyond AIARE’s Control (e.g., government restrictions, natural disasters): Tuition refund minus a $250 non-refundable administration fee*.
Course Transfer Policy

Full tuition may be carried over and be applied toward the new course. Tuition, less a $250 administrative fee, may be applied toward a new course if a waitlisted student can fill your spot. If no waitlisted student is available, the transfer is considered a withdrawal, and no previously paid tuition is eligible to be applied to the new course. No tuition transfer. If you transfer to a new course, your registration will be treated as a withdrawal and no tuition credit will be applied.

*Note: Merchant processing fees for all payments made by credit card are non-refundable.

 

Course Transfer Policy

  • Participant initiated transfer requests must be submitted more than 25 days before the start of the student's enrolled course. Requests made within 25 days of the course start date will not be accepted.
    • If a spot is available in the requested course, the student's enrollment and tuition payment may be transferred if within the abovementioned AIARE policies. Any difference in course price will be charged or refunded accordingly.
    • If no spot is available, the student will be placed on a waitlist with their original payment held. Should a spot open, the transfer will be processed and any difference in course price will be charged or refunded accordingly. If no spot opens within 25 days of course start, a refund may be processed in accordance with the above cancellation policy based on the date that the original transfer request was submitted.

 

Attendance

  • Successful course completion requires participants to attend all class sessions and field exercises. If participants miss a session for any reason, the ability to complete a makeup assignment or evaluation is at the trainer’s discretion. 
  • Limited absences (no more than 4 hours) for family or medical concerns may potentially be accommodated, but we cannot guarantee accommodations. Review of missed curriculum or examinations is the participant’s responsibility.

 

Scholarship Recipients

  • Standard cancellation policies apply.
  • Scholarships cannot be deferred; if participants are unable to use their scholarship (e.g. cancel course, have to come off course, etc.), participants will need to reapply the following year.

Tuition Protection & Travel Insurance (Strongly Recommended)

  • PRO and Instructor Training Courses: AIARE highly recommends that participants who qualify for it (e.g. those traveling a significant distance to the venue of their course) purchase robust trip insurance to safeguard their tuition investments against unforeseen circumstances such as personal illness, injury, cancellations outside the refund window, or course cancellations. 
  • Participant Responsibility: It is the participant's responsibility to understand their chosen policy's coverage and ensure it adequately meets their personal needs and situation.
